Assets can be shared in a couple of ways: With internal Merlin users (UNCG faculty and staff), or with external users (non-Merlin users) such as vendors, media, etc.

Sharing assets by email preview (a contact sheet) or by emailing a Zip link are the best ways to share assets with users who don’t have a Merlin account in the UC Digital Assets Library.

Email Preview/Contact Sheet

Sharing a Contact Sheet allows you to share a selection of thumbnail images for preview, with or without a download link for each image. The recipient can preview the images in the contact sheet, and if download links were included, they can download each image.

Steps:

1. Begin by selecting the image(s) you would like to share.

2. Click on the Share Tool in the Toolbar.

3. Click on Email Preview.

4. Fill out the fields in the email form.

5. Be sure to check the box at the top for “Include Download Links” if you want your recipient to be able to download the images.

6. Click Send.

Email a Link

Sharing a Link: allows user to send a link for a selection of photos to a recipient as a zipped set of files. Merlin zips the images and sends the recipient a link to the Zip file that is hosted on the Merlin server. The recipient clicks on the Zip Link and is prompted to save the set of images to their computer.

NOTE: The Zip file link will only be valid for 7 days.

Steps:

1. Begin by selecting the image(s) you would like to share.

2. Click on the Share Tool in the Toolbar.

3. Click on Email Link.

4. Fill out the Email Link form.

5. Click Send.
